This policy explains how Comrent handles personal information when you visit comrenthq.com, use the Comrent platform, or communicate with us.

The short version

We collect the information needed to respond to enquiries, provide Comrent, protect the service and support our customers. We do not sell personal information or use it for third-party advertising.

1. Who we are

Comrent is a property management platform operated by OIOI Lab. In this policy, “Comrent”, “we”, “us” and “our” refer to the team responsible for the Comrent service.

2. Information we collect

Early-access and enquiry information

When you register your interest or contact us, we collect the details you provide, which may include your name, email address, phone number and communications with our team.

Account and contact information

We may collect your name, work email address, organisation, role, account identifiers, authentication details and communications with our team.

Property management information

Customers may add or import property, owner, tenant, tenancy, lease, supplier, maintenance, financial, reporting and document information. The exact information depends on how each customer configures and uses Comrent.

Usage and technical information

We may collect device and browser details, IP address, sign-in and security events, feature usage, diagnostic information and error logs. We use this information to operate, secure and improve the service.

AI-assisted features

When you use an AI-assisted feature, Comrent may process the instructions, records, documents and other context you choose to provide, together with the generated response. We use that information to provide the requested feature and maintain the safety and reliability of the service.

3. Information about other people

Property management records can contain personal information about tenants, owners, contractors and other people. The customer that enters or imports that information is responsible for having authority to provide it to Comrent and for giving any notices required by law. Comrent processes that information to provide the service to the customer.

4. How we use information

  • Provide, personalise and maintain Comrent.
  • Authenticate users and manage customer workspaces.
  • Import, organise, report on and automate property management work.
  • Provide customer support and service communications.
  • Respond to enquiries and manage support and account communications you have requested.
  • Detect misuse, investigate incidents and protect accounts.
  • Understand performance and improve product reliability.
  • Meet contractual, tax, regulatory and legal obligations.

5. When we share information

We do not sell personal information. We may share it with carefully selected hosting, authentication, communications, support, analytics and AI service providers that help us deliver Comrent. Those providers may only process information for the services they provide to us and must protect it appropriately.

We may also disclose information when required by law, to protect the rights or safety of Comrent and its users, or as part of a genuine business sale, investment or restructuring subject to appropriate confidentiality protections.

6. Overseas processing

Some service providers may process information outside New Zealand. Where the New Zealand Privacy Act 2020 applies, we take reasonable steps to ensure overseas disclosures are protected in a way that provides comparable safeguards or otherwise complies with Information Privacy Principle 12.

7. Storage, security and retention

We use reasonable technical and organisational safeguards designed to protect information from loss, misuse and unauthorised access. More detail is available in our Data & Security overview.

We retain information for as long as it is needed to provide Comrent, satisfy contractual and legal requirements, resolve disputes and maintain appropriate business records. When information is no longer required, we take reasonable steps to delete or de-identify it. Backup copies may remain for a limited period before being overwritten.

8. Your privacy rights

Subject to the Privacy Act 2020 and any applicable exceptions, you may ask whether we hold personal information about you, request access to it, or ask us to correct it. Contact us at office@oioilab.ai so we can verify and respond to your request.

If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner.

9. Marketing communications

If you contact us or subscribe to updates, we may contact you by email about product news and support. You can unsubscribe from marketing emails at any time using the link in the message or by contacting us. We may still send essential account, security and service notices.

10. Changes to this policy

We may update this policy as Comrent evolves or legal requirements change. We will update the date above and give reasonable notice of material changes where appropriate.
